UCL Portico 2016 - Editorial content, design & creative services for UCL Portico Magazine. Portico Magazine is the flagship publication of the Development and Alumni Relations Office. It is produced annually and is mailed out to over 155,000 UCL alumni worldwide. It contains articles that highlight UCL involvement in current affairs, profiles alumni who are using their UCL education to make an impact on the wider world and engages the audience with institutional happenings and news. In 2013, we evaluated the most recent issue of the magazine (then named UCL People) and found that less than 11% of the entire cost of the magazine had been spent on the actual content. In 2014, we renamed the magazine and invested in our content further to ensure that our flagship publication continued to be impactful with our audiences. To continue this work we wish to employ an external agency to produce all editorial content for the magazine. This will include design, photography, images and written content The purpose of this tender is to choose a supplier to produce all editorial content for the magazine inclusive of images, photography and written articles within a budget of £65,000. This fee would include the production of all content and creative services fees for this agency. The Supplier will work with UCL to apportion some of the magazine space to advertising. The Supplier will be responsible for sourcing this advertising and make it cost effective The supplier will manage the print and fulfilment process for the magazine. This will involve working with a chosen printer from the UCL print framework, to print and fulfil the magazine for a cost of approximately £50,000 for print and £25,000 for fulfillment. We will expect you to manage this process and to invoice us for this costs. We would ask that bidders complete this document in full and produce a two page proposal that provides us with an outline of their company services and their thoughts on how they would approach this project and would comply with all the service requirements presented in this tender.

Retail Shops Design & Fit-out - The Royal Armouries is looking to fullt refresh its gift shop at Leeds and incorporate element of this refresh into its shop at Fort Nelson, Portsmouth to enhance the proposition there and create unity between the two shops. Having been in place since the site opened in 1998 the shop at Leeds is still by and large using the same furniture and fitting that it launched with. The shop was originally designed in a traditional book shop library style with brown shelving units, ideal for merchandising books. While books are still an important component of the product range we now need more variety and flexibility in our fixtures to allow for the creation of more impactful displays and merchandising across a wide variety of product. A portion of work on the shop took place last year when a new wood floor was installed and the painted areas where re-painted; in addition to this a new ePos system and tills where installed. to this a sound system was installed in 2012. While the gift shop at Leeds would be considered large in the context of museum gift shops in general, the shop at Fort Nelson is a fraction of the size. The gift shop at Fort Nelson is located in the visitor centre and shares this space with the café and toilets for the site. The visitor centre was built as part of an HLF project on the Fort Nelson site which opened in August 2011. The aesthetics of how the shop is presented with being situated in the visitor centre is a key issue that our shop designers will need to tackle. The Fort Nelson shop comprises of three main types of display units. Along the external curved wall there are nine fixed display bays. These are made from a light coloured beech wood and each has a slat wall back with glass shelves that can be positioned on brackets as required. The bottom section of these units are lockable for stock storage. Two floor standing beech wood units which have adjustable sections, two glass display units, two book spinner units and a postcard spinner make up Fort Nelson complement of retail units; there is a higher quantity and variety of unit in the Leeds shop. It should be noted that, where possible, we are looking to upcycle our existing fixtures and fittings to reduce the cost of the refresh and limit the environmental impact. Aims of the refresh - To increase conversion and income; To create a fully immersive and engaging customer experience; To advertise that the shop supports the museum, our other commercial areas and services; To more closely align the Leeds and Fort Nelson gift shops and improve accessibility and customer service. A full refresh design for the Royal Armouries Leeds shop. A partial redesign of the Royal Armouries Fort Nelson shop, to transfer some of the key elements from Leeds refresh to here.We are happy to consider proposals that split this brief between two separate companies, one for design and one for fit out. All quotations received should quote these two elements separately.

This third phase builds upon earlier evaluation work and will be undertaken as two distinct pieces of work. Phase three, part one, will require the consultancy to agree a scope for any new development or refurbishment with Lee Valley Regional Park and the Lee Valley Leisure Trust. Phase three, part two, progress on part two will be dependent on the outputs and outcomes of part one. If the project can be progressed then part two will look at potential sites and the consultant will be required to develop a weighted matrix on which an informed decision can be made relating to the preferred location of any new development. Two reports have been completed already to assist with decisions related to an ice venue located within the Lee Valley Regional Park. The first report was undertaken in May 2013. This was followed in August 2013 by a second report which looked at a review of the strategic and financial options for ice provision, providing market tested information related to a number of Ice venue configurations. The Authority, upon completion of Phase three, part one, will require the detail outlined within the Tender documentation The consultant team, during this phase, will be expected to identify and arrange specific site/venue visits to help inform decisions taken during this phase of work. Phase three, part two will only take place based on the outcome of the work done in part one. The consultancy team, at this stage, will be required to present and agree a weighted matrix with the Authority and the Trust, which will inform the choice of a site for the development. The Consultant appointed will be required to demonstrate expertise and will be able to consider; physical and environmental constraints, planning issues, synergy with existing facilities, funding opportunities from commercial partners, competition, costs related to specific locations, time for delivery, and risk.
