Provision of Lloyd George Record Digitisation Services - Lot 1 - Scanning Services to NHS South West London CCG - The LG patient record comprises of the LG envelope and the contents, which is an important part of the patient's historical medical record. Each Lloyd George envelope has a broad range of detailed personal information stored inside and maintaining the security accuracy, availability and integrity of these legacy records is vital. The handling of these records needs particular care; the paper records can be up to 70 years old and some records are fragile and in a poor state, coupled with the fact the information they hold is vital and paramount for safe medical practice. The lack of continuity and resilience within the paper record poses a risk to the ongoing, continuity of person-centred care.. There is a legal requirement to keep the full patients record for a minimum of 10 years after the death of a patient. There are four primary reasons for digitisation of Lloyd George records: • safer care for patients • release of space within practices to provide additional consultation areas • access to the full patient record at the point of care • GP Contract commitments to digitise all Lloyd George patient records by March 2022. This procurement followed a competitive tender using the NHS England and NHS Improvement Dynamic Purchasing System (DPS) (OJEU Reference 2020/S 152-373617) which was established by the NHS England and NHS Improvement National Commercial and Procurement Hub as a route to awarding contracts for Lloyd George Record Digitisation Services. It is compliant with the public procurement regulations and public authority standing financial instructions. To note, the tender is caught in the scope of the Public Contracts Regulations 2015 - Regulation 34: Dynamic Purchasing Systems. Document management solutions - 2gether Support Solutions Ltd. (herein referred to as "us" or "we") was formed in April 2018 as a new, wholly owned subsidiary company of one of the largest NHS Foundation Trusts in the UK, East Kent Hospitals University NHS Foundation Trust (the "Trust"). On behalf of the Trust's legal services department, we (on behalf of the Trust) are seeking to appoint a suitably experienced document management solutions service provider who, in a safe, secure and timely manner, will always: a) convert / scan confidential and sensitive related information (the "Documents") (including, but not limited to, patient medical notes, continuous CTGs and other health & corporate records) which have been specifically requested by either the Trust or Coroners, claimant law firms or other relevant organisations; and b) the documents will require scanning to be placed on the service provider's hosted secure EDRM or other suitably secure alternative cloud-based platform or other on-line secure methods or media, in accordance with Trust agreed timescales (the "Services"). The Trust requires this service to be provided on site at the Trust's legal services department at the Kent & Canterbury Hospital, Canterbury, Kent, i.e. the service provider's staff converting / scanning the Documents into a digital format, encrypting and delivering the resulting images etc., using the service provider's own suitable equipment. The service provider must be able to accommodate such requests throughout the Contract term (including any extensions) with timeframes agreed between the parties on a case by case basis. CBC Scanning Services - AWARD - The Council is inviting tenders for Scanning Services under mini-competition under ESPO Electronic Document Scanning Solutions Framework 390 Lot 1. The duration of the Contract will be for two years, with an option to extend for a further period of 2 years. It is anticipated that the contract will commence on 14th December 2021. The Council has an initial requirement for around 1,500,000 to 2,000,000 images to be scanned (approximately 8,500 - 10,000 files) for storing digitally in the Council's new information management system. It is also seeking a longer-term relationship to cover any possible scanning over the next 2 years, with an option to extend for another 2 years. The volumes beyond the initial requirement are unknown.

Deeds Digitalisation - LBB's deeds are at risk of deterioration and urgently need to be made digital. This will be done by a scanning company who will scan all our deeds and put them into categories in folders online. The deeds will be returned to their original state once scanned and kept in the deeds room.
