Tender for the Digitisation of Records at Sandwell Register Office - AWARD - Tender for the Digitisation of Record at Sandwell Register Office The Sandwell Metropolitan Borough Council has original registration documentation (births, deaths and marriages) dating back to 1837. Many of these documents are in a poor and deteriorating state of repair and we need to ensure their continued preservation. In addition, the records are accessed on a regular basis to provide copy documents to customers, which accelerates the deterioration process and is time-consuming (conducting manual searches). The Council is seeking to digitise this service and is seeking a Supplier to carry out the services specified within this tender document. Tenderers are expected to undertake their own assessment of the scope of the work but, as an estimate, it is expected to involve approximately 5000 registers, not all the registers will be allowed to be taken off-site in one visit. The successful tenderer will be expected to carry out this process in stages. The maximum period allowed for this will be up to 3 years from the Contract Commencement Date. The Contract Commencement Date shall be 1st October 2017 for a period of 3 years until 30th September 2020, unless it is otherwise terminated in accordance with the provisions of the Contract. The Council will be using the In-tend e-Tendering System for this Procurement exercise, please visit https://in-tendhost.co.uk/sandwellmbc to access the Sandwell MBC In-tend Supplier Portal. From here you will be able to register your company, express an interest in the opportunity, and gain immediate access to the ITT and other related documents. In Order To View the On-Line Questionnaire and Submit a Tender, you will be required to` Opt-In`. Please be mindful that if you are cut and pasting your question responses onto the On-Line Questionnaire that you do so from a notepad document, this is due to the fact that some special characters are not accepted within the On-Line Questionnaire. For a Step by Step user guide to the Sandwell MBC In-tend Supplier Portal please click on the `Guidance for Suppliers` section of the website. All procurement responses must be carried out via the Sandwell MBC In-tend Supplier Portal. If you require further assistance in respect of the system please contact the In-tend support team on 0844 272 8810. Closing date: Friday 11 August 2017 at 15:00hrs
